What bookkeeping actually covers, month after month

Bookkeeping is often described as data entry. In practice it is the work of keeping every rupee that moves through your business tied to a document, a ledger and a tax position. For a working set of books, that means all of the following happen every month, not once a year in a panic before filing:

  • Sales and revenue recording from invoices, marketplace reports or your billing system, with the correct GST treatment and place of supply
  • Purchase and expense entry against actual bills, so input tax credit is claimable and nothing sits in a suspense account
  • Bank and cash entries for every account, including cards, wallets and payment gateways
  • Bank reconciliation for each account, to the last rupee
  • Accounts receivable and accounts payable kept current, with ageing you can act on
  • Payroll and statutory entries where applicable, including the liabilities that follow them
  • Fixed assets and depreciation, so the balance sheet is not quietly wrong
  • GST ledgers reconciled against the returns actually filed, not against what was intended
  • Closing entries and a review before anything is called final

Skipping any one of these does not usually announce itself. It shows up months later as a mismatch in a GST notice, a bank balance that will not tie, or a profit figure nobody is willing to rely on.

Bank reconciliation is the backbone, not a formality

A reconciled bank account is the only proof that your books describe reality. Everything else in accounting is an interpretation of documents; the bank statement is the one record you did not write yourself.

Reconciliation done properly catches duplicate payments, entries posted twice, receipts credited to the wrong customer, bank charges nobody recorded, standing instructions that were never cancelled, and transfers between your own accounts booked as income. Businesses that reconcile once a quarter usually find these things too late to do anything about them. We reconcile monthly, for every account, including gateway and wallet balances.

Receivables, payables and the money you are owed

Most cash-flow problems in a growing business are not really cash-flow problems. They are collection problems that nobody has a current list for. An accurate receivables ageing tells you which customers are past due and by how long; an accurate payables ageing tells you what you owe before a supplier reminds you.

Both come free with proper bookkeeping and are almost impossible to reconstruct without it. They are also the two reports business owners actually use, which is why they go into the monthly pack rather than sitting in the software waiting to be discovered.

When the books are months behind

A large share of the businesses that come to us are not starting fresh. The books stopped somewhere, filings were made on estimates, and nobody is confident about the opening balances. That is a normal situation and it is fixable.

Backlog work runs in a set order: agree the last date the books can be trusted, rebuild from bank statements and source documents forward, reconcile each account, match what was actually filed under GST and TDS against what the rebuilt books show, and only then call an opening position final. A clean handover takes one to two weeks to onboard. A backlog of six months or more takes two to six weeks, sometimes longer. We would rather take the extra week and give you a correct opening position than a fast one you cannot rely on.

Bookkeeping for ecommerce sellers is a different job

If you sell on Amazon, Flipkart, Myntra, Meesho or your own website, ordinary bookkeeping will not survive contact with your settlement reports. The platform decides your revenue data, deducts commission, shipping, storage, advertising and penalties before paying you, and deducts TCS under GST and TDS under income tax on your behalf. Recording the amount that arrives in the bank as sales throws away most of what you need.

Q. My books are six months behind. Can you still take this on? Yes. Backlog cleanup is a normal part of onboarding. Expect two to six weeks or more depending on volume, because we rebuild from source documents and reconcile rather than rolling forward figures we cannot verify.

Q. Do you also file GST returns, or only maintain the books? Both. Bookkeeping that is not reconciled against the returns actually filed is where most GST notices begin, so the two are handled together rather than by two parties who never compare notes.
