The AGS Invoicing Specialist is responsible for supporting the invoicing, payment reconciliation, and accounts receivable functions for our programs. They provide invoicing administration support to our Program Managers and the Program Office by leveraging our tools and best practices. This role can be assigned to multiple programs and must be available to support the programs in many different capacities.
Your duties may include, but are not limited to:
– Consolidated invoicing supporting to each program
– Summarize consolidated invoices and prepare for monthly accounting processes
– Receive and reconcile customer / vendor payments
– Prepare vendor payment distributions and send to accounts payable department
– Manage accounts receivable aging and perform collection responsibilities where necessary
– Administer, audit, and reconcile all tax related processes and issues
– Ensure all the POs in place, need to maintain the PO tracker with validity.
– Coordinate with respective business stakeholders to ensure the correct bill rate is available as per the PO/SOW. – Ensure all the billing to be executed to the correct legal entity
– Ensure to get the billing treatment details from the business
– Proactively follow-up for attendance tracker, payroll report and head-count tracker.
– Co-ordinate with Ops to get the approved time sheets in a periodic and timely manner.
– Collate & maintain the consultant related details like Start / End date, leave details etc
– Need to set a billing process discussing with AR manager when the new clients are added
– Ensure the all billing required information such as like PO field, Hiring manager field and client invoice reference should be in place while billing
– Should be able to manage & resolve invoicing discrepancies & disputes directly with the client & suppliers….
